Full-time Event Planner Location: Lehi, UT
Mission: Xyngular is seeking a dedicated and talented Event Planner to enhance the meeting and travel experiences for our business partners. Reporting directly to the Director of Events, this role involves managing recurring incentive, recognition and educational events as well as assisting with conventions and virtual events. We are looking for a self-motivated, detail-oriented individual with excellent communication skills and a commitment to providing top-notch customer service.

Key Responsibilities: - Event Coordination: Organize and manage multiple events and projects simultaneously, ensuring smooth execution and high-quality experiences.
- Travel Management: Collaborate with travel agencies to secure optimal flight options for event qualifiers and staff.
- Data Management: Maintain accurate spreadsheets for qualifier lists, transportation, flight manifests, hotel room block management, departure notices, agendas, and meeting details, etc.
- Online Registration: Develop and manage online registration websites with dedicated event agenda's, FAQ's, terms and conditions, branding, etc.
- Swag and Inventory: Ideate, design, manage vendors, and price event swag. Oversee the onsite event product and swag store, including inventory management.
- Staff Management: Train and manage event staff and volunteers, ensuring efficient and effective performance.
- Logistics: Organize and manage the shipping of event supplies, products, swag, signage, and more.
- Creative Tasks: Create name badges, table place cards, labels, thank you cards, agendas, drop cards, signage, etc.
- Financial Responsibilities: Assist with budget management for assigned event areas as well as monthly credit card reconciliation. Maintain accurate final billing for vendors and service-related contractors.
- Team Collaboration: Participate in daily stand-ups and weekly planning meetings, assisting with event marketing campaigns, social media and communication efforts.
- Innovation: Generate creative ideas to drive event participation and revenue.
- Other duties, tasks as assigned.
Competencies and Skills: - Communication: Excellent oral and written communication skills with an emphasis on clarity.
- Organization: Exceptional organizational skills are mandatory.
- Technical Proficiency: Proficient in Microsoft Office (Excel, PPT, Outlook, SharePoint). Experience with registration software (Cvent & Wufoo preferred), event photo/asset management tools (Flickr, Dropbox, etc.) and design tools (Canva preferred).
- Customer Service: Strong customer service mindset. Ability to respond in a professional timely manner to maintain our events inbox, with assistance from events team.
- Time Management: Ability to fulfill duties promptly, including ad-hoc and last-minute requests.
- Teamwork: Ability to work independently and as part of a team.
- Professionalism: Maintain a pleasant demeanor and professional attitude even when under pressure.
- Physical Requirements: Ability to lift up to 30 lbs. occasionally and stand for long periods during events.
- Education and Experience: Bachelor's degree preferred. 2-4 years of related experience in hospitality, travel, event management, or project management, or an equivalent combination of education and experience.
- Network Marketing: Two years or more experience is a priority.
Additional Requirements: - Travel: Some local travel for smaller meetings and additional travel outside the state and internationally for events.
- Flexibility: This position requires flexible hours, including some nights and weekends.
